Automation for a fresh food supplier to Australian supermarkets

The Client

A fresh food supplier to Australian supermarkets receives Purchase Orders via email 7 days a week. Each Purchase Order is sent to the supplier as a PDF Attachment. The supplier had to manually key in the order details into their ordering system. As the orders were for fresh food the purchasing process is time critical.  

The Problem

The supplier engaged 365 Assist to implement an automated process that submitted the orders received in email directly into the supplier’s purchasing system. 

How we halped

365 Assist built a Microsoft Power Automate flow that triggered every time a supermarket order was received in the Orders email inbox. The flow included the use of Microsoft AI builder that “read” the PDF order attached to the email. The data collected from the attached order was then automatically sent to the suppliers ordering system for processing. The flow also included email success or failure notifications to the purchasing staff of any issues reading the attachment or posting to the system. 

365 Assist was able to save the supplier approximately 1 hour a day in monitoring and entering orders received from the supermarkets. This automated process also allowed the supplier to receive more orders without having to utilise staff time in manually entering data.
